Full-time Bookkeeper and Accounting
We have an immediate opening for a full-time Bookkeeper. In this role, you will be our primary in-house accounting person, responsible for organizing, coordinating, and completing the general accounting activities. You’ll work closely with the President and our outsourced fractional CFO/controller to keep our financial records accurate and up to date.
This position is ideal for someone who enjoys being the “go-to” accounting person in a small/midsized manufacturing company and doesn’t mind a mix of bookkeeping and administrative support.
Key Responsibilities
Accounting & Bookkeeping
- Reconcile invoices and vendor statements to ensure accuracy.
- Complete tasks related to credit applications, unclaimed property, collections, accounts receivable, and accounts payable.
- Collect, validate, prepare, document, and process journal entries.
- Process vendor bills for payment and prepare/check runs.
- Complete monthly account reconciliations (e.g., accounts payable, accruals, and other assigned accounts) and follow up on reconciling items to maintain accurate general ledger balances.
- Prepare and complete bank deposits.
- Maintain accurate, timely financial records in our current ERP (xTuple) and support our transition to QuickBooks Online.
Collections & Customer Communication
- Work with customers regarding payment/collections using a communication style that is kind, direct, and firm.
- Communicate professionally with customers and internal team members to resolve billing questions, discrepancies, and payment issues.
Administrative Support
- Provide some administrative support directly to the President (e.g., scanning, filing, basic document preparation or coordination tasks).
- Update, scan, and file documents as needed to keep records organized and accessible.
- Create and update SOPs (Standard Operating Procedures) for your responsibilities and follow all established SOPs.
Other
- Contribute ideas and feedback to continuously improve accounting and office processes.
- Exercise discretion, honesty, integrity, and respect with all customers and employees; demonstrate a positive attitude and effective communication.
- Adhere to all company safety policies and OSHA standards at all times.
- Perform other related duties as assigned.
Required Skills & Abilities
- Highly organized with strong attention to detail and accuracy.
- Proficient with Microsoft Office and Google Sheets.
- Tech-savvy; proficient with PC skills and comfortable learning new systems (Mac experience a plus).
- Excellent verbal and written communication skills.
- Comfortable on the phone, especially when following up with customers for payments/collections.
- Strong math skills.
- Ability to multi-task and manage multiple priorities and deadlines.
- Ability to maintain strict confidentiality in handling financial and sensitive company information.
Education & Experience
- 3–5 years bookkeeping experience in a manufacturing environment (required).
- Prior experience using a Mac (preferred).
- QuickBooks Online experience preferred (currently using xTuple but moving to QBO).
- Enjoys working with numbers and takes pride in being accurate and detail oriented.
Schedule: Full-time, Monday–Friday, 8-hour shift with a flexible start time
